POSITION OVERVIEW:

As a Payroll Tax Associate at PrimePay, your primary role involves accurately filing corporate client payroll tax returns, resolving agency notices, and ensuring the precise collection and disbursement of client funds. Your responsibilities encompass various cyclical duties throughout the tax cycle.

PRINCIPAL DUTIES & RESPONSIBILITIES:

• Timely filing and remittance of monthly, quarterly, and annual tax returns, ensuring balance and compliance with established deadlines.

• Amending previous tax filings and returns as necessary.

• Analyzing and tracking documentation for Federal, State, and Local taxes.

• Researching, resolving, and reporting on agency notices, collaborating with agencies, clients, and PrimePay representatives.

• Balancing and reconciling client funds, addressing any discrepancies and updating internal systems accordingly.

KSA’S (KNOWLEDGE, SKILLS, AND ABILITIES):

• Comprehensive knowledge of payroll tax regulations and diverse tax jurisdictions.

• Proficiency in Microsoft Office applications and familiarity with MasterTax or other tax processing software.

• Ability to learn and utilize various payroll systems within the PrimePay suite of services.

• Strong attention to detail, proficient data entry, and basic mathematical skills.

• Effective communication with clients and stakeholders, both orally and in writing.

• Adaptable to change, manages multiple assignments, and possesses strong organizational skills.

EDUCATION & EXPERIENCE

• Education: Bachelor’s degree in Accounting, Finance, or a related business field preferred.

• Experience: 1-3 years of experience in a financial industry/environment.

• 1-3 years of prior payroll experience preferred.

WORKING CONDITIONS AND PHYSICAL REQUIREMENTS:

• Must be able to remain in a stationary position for the majority of the day.

• Consistently operates a computer and other office machinery such as copiers and printers.

• Frequently communicates with clients and must be able to exchange accurate information via phone and e-mail.

• Scarcely required to move about the office and transport up to five pounds.

SUCCESS METRICS:

• Tax Filing Accuracy Rate: Measure the accuracy of filed tax returns on a quarterly basis. Calculate the percentage of returns filed without errors or omissions to ensure compliance. Aim for a 98% accuracy rate.

• Notice Resolution Time: Track the time taken to research, resolve, and report on agency notices. Measure the average duration from notice receipt to closure, aiming to resolve 90% of notices within established timelines.

• Client Relationship Index: Implement a quarterly survey to evaluate client satisfaction with communication and service. Aim for a satisfaction score of 4.5/5 or above based on client feedback.

• Task Completion Timeline: Monitor and record the completion time of daily, weekly, and quarterly tasks. Aim to consistently meet or exceed set deadlines, achieving a 95% on-time completion rate.

• System Update Efficiency: Assess the efficiency of updating internal systems after adjustments and payments. Measure the time taken to update systems post-changes, aiming for updates to be completed within 24 hours of adjustments being made.
